Sales Fulfilment Responsibilities Policies

The Sales Fulfilment Responsibilities Policy outlines the obligations of artists after an artwork has been purchased through Artsays. Its purpose is to ensure that every confirmed order is fulfilled professionally, accurately, and within the committed timelines, providing buyers with a reliable purchasing experience while maintaining the integrity of the Artsays marketplace.

Artists are responsible for managing accepted orders, preparing artworks for shipment, fulfilling custom commissions where applicable, and cooperating with Artsays throughout the fulfilment process. Failure to fulfil these responsibilities may result in order cancellations, buyer disputes, account restrictions, or other enforcement actions under applicable Artsays policies.

5.1 Order Acceptance

Once an order has been successfully placed and confirmed through Artsays, the artist is responsible for reviewing the order details and fulfilling the purchase in accordance with the listing, applicable platform policies, and any agreed terms.

Artists should ensure that the ordered artwork is available, accurately matches the listing, and is ready for fulfilment. If an artist becomes aware that an order cannot be fulfilled due to inventory issues, artwork damage, unforeseen circumstances, or any other legitimate reason, the artist must promptly notify Artsays through the appropriate platform process.

Artists must not knowingly accept or retain orders that they are unable to fulfil or intentionally delay order processing without reasonable justification.

Artsays may monitor order acceptance performance and take appropriate action where repeated fulfilment issues, cancellations, or failures occur.

5.2 Packaging

Artists are solely responsible for securely packaging their artworks before shipment. Artsays does not provide packaging materials or packaging services unless expressly stated otherwise.

Artists are responsible for arranging and bearing the cost of all packaging materials required to safely prepare the artwork for shipment. Packaging should be appropriate for the artwork's size, value, fragility, medium, and shipping requirements to minimise the risk of damage during transit.

Artists should ensure that the packaged artwork is ready for collection by Artsays' authorised logistics partner. Where applicable, Certificates of Authenticity (COA), artwork care instructions, or other relevant documents should be securely included with the shipment.

Any damage resulting from inadequate, improper, or negligent packaging may remain the responsibility of the artist in accordance with the applicable Artsays policies.

5.3 Dispatch

Once an order is confirmed, artists are responsible for preparing the packaged artwork for shipment within the estimated processing timeline communicated through the Artsays platform.

Artists must ensure that:

After the artwork is prepared, it must be made available for pickup or handed over to Artsays' authorised logistics partner, as applicable. The logistics partner will be responsible for transportation and delivery in accordance with the applicable shipping process.

Where dispatch delays become unavoidable, artists must promptly notify Artsays so that appropriate action may be taken and buyers may be informed where necessary.

Repeated delays in preparing or handing over shipments, failure to fulfil confirmed orders, or repeated fulfilment issues may result in corrective actions under applicable Artsays policies.

5.4 Custom Artwork

Artists offering commissioned or custom-made artworks through Artsays are responsible for completing such work in accordance with the specifications, pricing, timelines, and conditions agreed before the order is confirmed.

Artists should clearly communicate:

Once production of a commissioned artwork has substantially commenced, cancellations, modifications, or refunds may be limited or unavailable except where required under applicable law or expressly permitted under the Artsays Returns, Refunds & Cancellations Policy.

Artists remain responsible for ensuring that commissioned artworks comply with all applicable Artsays policies, including originality, authenticity, intellectual property, and content standards.

5.5 Post-Sale Responsibilities

Completion of a sale does not end an artist's responsibilities under the Artsays platform.

Following delivery, artists are expected to cooperate with Artsays in resolving legitimate post-sale matters, including:

Artists are expected to respond promptly and cooperate in good faith throughout any post-sale review or resolution process.

Artsays may consider fulfilment quality, dispatch performance, successful deliveries, buyer satisfaction, cancellation history, dispute resolution, and overall post-sale performance when evaluating an artist's continued participation and standing on the platform.
